Documentation for Primary Human Cells: A Buyer’s Checklist
A practical way to define the documentation questions before you compare material, suppliers, or program paths. The right package depends on the material, intended use, development stage, and applicable quality requirements.
This guide helps frame a technical conversation. It does not describe a guaranteed document package and is not regulatory advice.
Start with the program scope
Before asking for documents, define the decision the information needs to support. A research-use experiment, a method-development study, and a clinical manufacturing program can require different levels of characterization, traceability, and review.
- What material format, cell population, and lot attributes are essential to the study?
- Which donor characteristics are relevant to the biological question or program design?
- What quality records must be reviewed before material can enter the intended workflow?
- Which documents need to accompany the shipment, and which can be reviewed during qualification?
Documentation to discuss with a supplier
Use the categories below to compare what is available, what each record means, and whether it applies to the particular material being considered.
Lot and product identification
Confirm how the material is identified, which specifications or measured attributes are reported, and how the supplied record distinguishes the individual lot from a general product description.
Donor characterization
Clarify the donor attributes that can be considered for the request, the method and resolution used where relevant, and any limits on what can be shared or selected.
Donor eligibility context
For material subject to the applicable HCT/P framework, ask how donor screening and testing are evaluated and what documentation is available for the proposed use case.
Chain of identity and shipment records
Determine how the lot, handling steps, and shipping conditions are recorded, and which records are needed to support internal receiving and quality procedures.
Quality events and changes
Ask how deviations, out-of-specification results, changes, or open questions would be evaluated and communicated before the material is used in the workflow.
Phase-appropriate records
Confirm the documentation that is relevant to the project phase. Requirements should be scoped with the program’s own scientific, quality, and regulatory stakeholders.
Regulatory context is use-case specific
In the United States, FDA’s HCT/P framework includes donor-eligibility provisions in 21 CFR Part 1271, including donor screening and testing requirements in the applicable circumstances. That framework is not a substitute for a program-specific assessment of the material, manufacturing path, and intended use.

Compare packages like for like
A useful supplier evaluation makes the scope explicit: which records are included, which are available on request, how the records relate to the named lot, and what remains to be confirmed for the planned use. That makes technical comparison clearer than a generic claim that a product is simply “well documented.”
